Turning a Slow Internal Tool into a Fast, Integrated Workflow

The challenge

An IT startup struggled with an internally developed tool that was slow and cumbersome to use. Features added over time had to be configured one by one, costing users significant time and focus whenever they wanted to complete a single task.

How we worked

Key issues

  • Reviewed the full application and its interaction patterns

  • Analyzed how sequential and interdependent elements behaved in real use

  • Identified four core components, each previously handled on a separate interface:

    1. Data item creation

    2. Data item definition

    3. Data item naming

    4. Data item grouping


The solution

  • Interface optimization
    Proposed a new interface structure with three main columns (freely toggleable), integrating the fourth component directly into one of them

  • Workflow redesign
    Redesigned the workflow to reduce context switching and repetitive setup

  • Visual concept development
    Recommended a new visual interface concept, later implemented by the development team

  • Efficiency enhancement
    Introduced keyboard shortcuts to significantly speed up everyday use

Result

The outcome was a fast, intuitive, and fully integrated configurator interface.
Daily work became noticeably quicker, with productivity increasing multiple times over.

Following the success of the project, we were later trusted with further testing and ideation for future improvements.
